Executive Assistant (Maternity Cover)


We are currently seeking to recruit an experienced maternity cover Executive Assistant to the Clinical Director, with a possibility of this becoming a permanent position, a role which also provides administrative assistance to the DWR Partners and the Operations Director to drive forward a progressive and engaging management programme that will ensure excellence in care for our expanding colleague team.

In addition to being one of the busiest specialist veterinary hospitals in the UK, we run dedicated veterinary specialist training programmes through our approved intern and residency programmes, we have our own veterinary nurse training academy, a thriving commercial laboratory and we are an academic partner with the University of Nottingham, meaning we host final year veterinary students on rotation for most of the year.  We have over 300 colleagues working in dedicated purpose-built facilities with a further significant expansion of our buildings currently underway.


The key accountabilities in this role are:

  • Providing confidential and efficient office systems, including data management and filing;
  • Facilitating and ensuring regular communication between the Partners, the majority shareholding company and our landlord;
  • Organising and maintaining the Clinical Director’s diary and coordinatinh his and the Partners’ appointments (both internal and external);
  • Organising and attending key meetings and conference calls, some of which will be confidential, preparing agendas, writing and distributing minutes and actions;
  • Acting as a key liaison point between the Clinical Director and hospital teams; and maintaining good communications at all times;
  • Advising the Partners of impending work deadlines for both internal and external commitments;
  • Ensuring a smooth flow of information throughout the hospital;
  • Meeting and greeting Partners’ visitors;
  • Ordering lunches and refreshments for key meetings and setting them up as required;
  • Liaising with clients, suppliers and colleagues as required to allow the Clinical Director and the Partners to balance their clinical and operational commitments;
  • Arranging Partners’ travel itineraries, visas and accommodation when appropriate;
  • Organising colleague birthday cards, gifts and celebrations;
  • Managing room booking system, visitor lists and badges;
  • Managing all non-clinical complaints and directing clinical complaints to the relevant colleague;
  • Undertaking ad hoc projects or any other work as required to meet the business needs

We are looking for a colleague with a proven track record as an EA in a customer-facing organisation delivering excellent administrative support who has experience in supporting senior managers in a complex environment with professional stakeholders.  Experience in the health care or veterinary sector is desirable but not essential. IT literacy and organisational skills are essential, as is the ability to multi-task and manage time and workload effectively. We need a confident, enthusiastic and friendly team player and an effective communicator with high emotional intelligence who is able to build rapport quickly.
